Privacy Policy

Plain English: We collect the operational data you enter to run the app. We do not sell your data, period. We will update this policy and notify you before we ever change that.

Who We Are

KMS (kitchen.management) is a back-of-house management tool built and operated by Archive Table LLC, a Colorado LLC. If you have questions about this policy, contact us at hello@kitchen.management.

What We Collect

Account information

Email address and password (stored hashed — we never see your password in plain text)
Restaurant or operation name
Operator type (restaurant, food truck, catering, etc.)
Location name and address (optional)

Operational data you enter

Inventory items, par levels, and current counts
Prep lists and completion status
Food cost entries and shift logs
Compliance checklist items and completion records
HACCP temperature logs
Shift notes and variance logs
86'd item logs
Team member names and roles (if you add them)

Usage data

Pages visited and features used (to improve the product)
Device type and browser/OS version
App crash reports (if any)
Session timing (how long the app is used)

Integration data (only if you connect a third-party service)

Point-of-sale data from Toast or Square (sales, covers, check counts) — only read, never written back
Payment method details for subscriptions (handled by Stripe — we never store card numbers)

How We Use Your Data

To run and deliver the KMS service to you
To calculate food cost, prep completion, compliance scores, and other metrics shown in the app
To generate the AI morning brief (operational data is sent to Groq's API; it is not stored by Groq for training)
To send account-related emails (password reset, billing receipts)
To improve the product based on how it's used
To debug errors and fix bugs

We do not use your data for advertising. We do not build advertising profiles. We do not sell it.

Third-Party Services We Use

These services process data on our behalf. Each has its own privacy policy.

Data Selling — Current Policy

We do not sell your data. Your operational data — inventory counts, food costs, prep logs — is yours. We have no advertising partners and no data broker relationships. If this ever changes, we will update this policy, notify you by email at least 30 days in advance, and give you the option to delete your account before any sale takes effect.

Data Retention

Active account data is retained as long as your account is active
Shift logs, inventory history, and compliance records are retained for 2 years by default
When you delete your account, we delete your personal data within 30 days
Aggregated, non-identifiable usage statistics may be retained indefinitely

Your Rights

Access: request a copy of all data we hold about you
Correction: update incorrect information in your account settings
Deletion: delete your account and associated data
Export: request a data export in a portable format
Opt-out: unsubscribe from non-essential emails at any time

Security

Passwords are hashed using bcrypt and never stored in plain text. Data is transmitted over HTTPS. Your database is hosted on Supabase, which uses row-level security so you can only access your own data. We do not have access to your payment card numbers — those are handled entirely by Stripe.

Children's Privacy

KMS is designed for food service operators and their teams. We do not knowingly collect data from anyone under 13. If you believe a minor has created an account, contact us and we will delete it promptly.

Changes to This Policy

We will post updates to this page when the policy changes. For material changes — especially any that affect how we share or sell your data — we will notify you by email at least 30 days before they take effect.
